1. Who we are
This Privacy Policy explains how Hikify Digital Solutions LLP (LLPIN: ACZ-1249), a limited liability partnership registered in India ("Hikify", "we", "us" or "our"), collects, uses, shares and protects personal data when you visit hikify.in (the "Website"), contact us, or use our software, AI and automation, marketing, training and product services (the "Services").
We process personal data in line with applicable Indian law, including the Information Technology Act, 2000 and its rules, and the Digital Personal Data Protection Act, 2023 (as and when its provisions come into force).
2. Information we collect
Information you give us
- Contact details, such as your name, email address, phone number, company name and job title, when you email us, book a call or enquire about our Services.
- Project and enquiry details you choose to share with us, such as requirements, documents and feedback.
- Training information, such as learner names, contact details, educational or professional background, attendance and assessment results, when you or your organisation enrol in a training program.
- Billing information, such as billing address and GST details, when you become a client. Payments may be processed by third-party payment providers; we do not store full card details.
Information collected automatically
Like most websites, our hosting and content delivery providers may automatically record basic technical information when you visit, such as your IP address, browser type, device type, pages viewed and the date and time of your visit. This is used to keep the Website secure and working properly.
Information processed for AI and automation projects
When we build chatbots, voicebots or automations for a client, we may process data that the client provides or that its customers submit through those systems. In those cases we act on the client's instructions, and the client's own privacy notice applies to that data.
Information from our products
Our in-house products may have their own privacy notices that explain what data they collect. Where a product-specific notice applies, it will take precedence for that product.
3. How we use your information
We use personal data only for clear and lawful purposes, including to:
- respond to your enquiries and schedule calls or meetings;
- prepare proposals, deliver our Services and manage our relationship with you;
- run training programs, track progress and issue certificates;
- send invoices, collect payments and keep accounting and tax records;
- send you updates you have asked for, such as product launch news (you can opt out at any time);
- maintain the security and performance of the Website and our systems; and
- comply with legal obligations and protect our legal rights.
We process your personal data on the basis of your consent, or for legitimate uses permitted by law, such as performing a contract with you or complying with legal requirements. We do not sell your personal data.
4. Cookies and analytics
The Website does not currently use advertising or tracking cookies. It loads fonts from Google Fonts and a small script from the jsDelivr content delivery network, and these providers may receive your IP address and browser information as part of delivering those files.
If we add analytics or marketing tools in the future, we will update this policy and, where required, ask for your consent first. You can also block or delete cookies through your browser settings.
5. How we share information
We share personal data only when needed, and only with:
- Service providers who help us run our business, such as email, hosting, cloud storage, video conferencing, payment and accounting providers, under appropriate confidentiality and data protection obligations;
- Your organisation, where it has enrolled you in a training program (for example, attendance and completion reports);
- Professional advisers, such as lawyers, auditors and accountants; and
- Authorities, where required by law, court order or to protect the rights, property or safety of Hikify, our clients or others.
Some of our service providers may store or process data outside India. Where this happens, we take reasonable steps to ensure your data remains protected and that the transfer is permitted under applicable law.
6. Data retention
We keep personal data only for as long as it is needed for the purposes described in this policy, or as required by law (for example, tax and accounting rules). When it is no longer needed, we delete or anonymise it securely.
7. How we protect your data
We use reasonable technical and organisational safeguards to protect personal data against unauthorised access, loss, misuse or alteration. These include access controls, secure service providers and limiting access to people who need it. No method of transmission or storage is completely secure, but we work to protect your information and will act promptly if an incident occurs.
8. Your rights
Subject to applicable law, you have the right to:
- access a summary of the personal data we hold about you;
- ask us to correct, complete or update inaccurate information;
- ask us to erase your personal data where it is no longer needed;
- withdraw consent you have given, at any time (this does not affect processing already carried out);
- nominate another person to exercise your rights in the event of death or incapacity; and
- raise a grievance with us and, if unresolved, with the Data Protection Board of India once it is operational.

9. Children's privacy
The Website is not directed at children. Where a training program includes learners under 18, we collect their personal data only with verifiable consent from a parent or lawful guardian, or through the educational institution responsible for them, as required by law.
10. Third-party links
The Website may link to other websites or services that we do not control. This policy does not apply to them, and we encourage you to read their privacy policies.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Significant changes will be highlighted on the Website.
